Overview

This policy is published by Dana.ai LTD ("Dana", "we", "our"). It covers the Dana platform and this website. At Dana we're committed to protecting your privacy and the privacy of your guests. This policy explains what data we collect, how we use it, how we protect it, and what rights you have over it. We operate in line with the Israeli Privacy Protection Law, 1981 and its regulations, applicable GDPR requirements, and the privacy and security standards the hospitality industry demands.

Who is responsible for what

Our role depends on whose data it is:

• Guest data. The hotel or property that uses Dana decides how its guests' data is used, and is responsible for it (the "controller"). Dana processes guest data only on the property's behalf and on its instructions, to deliver the service.
• Account and website data. For the details of our customers' team members, and of people who contact us through this website, Dana is the controller.

If you are a guest, please contact the property you stayed with or booked with to exercise your rights. Many properties offer a privacy request form through Dana for this. We help properties respond to these requests.

Data we collect

We collect only what we need to deliver the service. On your side, that's your business information, account details, and the data your team enters into Dana. On the guest side, that's the information guests share with Dana during conversations and bookings.

• Account data, your name, work email, phone number, company and role.
• Property data, rooms, rates, policies, services and the knowledge base you build with us.
• Guest conversations, messages and context across channels, in whatever language the guest uses.
• Reservation & payment metadata, booking IDs, dates, amounts. Full card numbers never touch our systems.
• Usage data, how your team uses the product, for support and improvement.

Our website

When you fill in a form on this website (to book a demo or to contact us), we collect what you enter: your name, email, phone number, property name, and where the form asks for them, property type, number of rooms, country, the systems you use and your message. We use these details to get back to you and to schedule a demo. We send you updates about Dana only if you tick the mailing list box, and you can unsubscribe at any time.

To deliver this, the website uses a few outside services:

• Roam, to show the demo calendar. Your name, email and phone are passed to it so you don't have to type them again.
• FormSubmit, a backup that emails a form to our team if our own system can't receive it.
• Google Fonts and Unsplash, which serve the website's fonts and some of its images. Like any website your browser loads files from, they receive your IP address.

How we use it

We use your data only to run the service you hired us for. That means answering your guests on your behalf, syncing with your PMS, CRM and payment systems, giving your team dashboards and insights, and keeping Dana sharp for your property.

We never sell your data. We never share it with third parties for marketing. And we never use your guest data to train shared AI models that benefit other customers.

Sharing & sub-processors

To deliver the service, we rely on a small set of trusted sub-processors. Every sub-processor is reviewed, documented and lives under a data processing agreement that mirrors the protections we give you. The main ones are:

• AI model providers, OpenRouter, Anthropic, OpenAI and Google (Gemini). They process conversation content to generate Dana's replies. They are set up so they don't use your data to train their models.
• Voice, ElevenLabs, for spoken replies on phone calls.
• Cloud hosting and storage, including Amazon Web Services.
• Email delivery, Postmark.
• Product analytics, Mixpanel, to understand how the product is used.
• Messaging channels, such as WhatsApp and the other channels you connect, to send and receive guest messages.
• Payments, Pelecard and the other payment providers you connect.
• Google APIs, when you turn on exports to Google Sheets.

We also share data with the systems you connect to Dana, such as your PMS and CRM, as part of the service. The website services are listed under "Our website" above. A current list of sub-processors is available on request from privacy@itsdana.com.

Security & retention

Your data is encrypted in transit (TLS 1.3) and at rest (AES-256). Access is restricted on a least-privilege basis, protected with multi-factor authentication, and logged for audit. We run daily encrypted backups and test our disaster recovery plan on a quarterly basis.

We retain your data for as long as your account is active, and for the periods required by law afterwards. On termination, we export or delete your data in line with your written instructions.

Your rights

You and your guests have rights over the personal data we hold:

• The right to access and get a copy of personal data.
• The right to correct or update inaccurate data.
• The right to request deletion (the right to be forgotten).
• The right to restrict or object to specific processing.
• The right to data portability in a standard format.

To exercise any of these rights, contact us at privacy@itsdana.com. We'll respond within 30 days. Guests should contact the property first, as described in "Who is responsible for what".

Cookies & tracking

We use a small number of cookies on our website and inside the product. Strictly necessary cookies keep you logged in and the service running. Analytics cookies help us understand how the product is used, in aggregate, to improve it. We don't run advertising trackers on our product.

International transfers

Our servers are in the United States, and some of our sub-processors, including the AI model providers, process data outside Israel. We transfer data abroad in line with the Privacy Protection (Transfer of Data to Databases Abroad) Regulations, 2001, under agreements that require the recipient to protect it. For data from the European Union, we rely on recognized mechanisms, including the EU Standard Contractual Clauses.

Children's data

Our service isn't designed for children, and we don't knowingly collect personal data from anyone under 16. If you believe a child has provided data to us, please contact us and we'll remove it promptly.

Changes & contact

We may update this policy from time to time. When we make material changes, we'll notify you by email or in-app notice before they take effect. Continued use after that date means you accept the updated policy.

מי אחראי על מה

התפקיד שלנו תלוי במידע של מי מדובר:

• מידע על אורחים. המלון או מקום האירוח שמשתמש בדנה קובע איך ישמש המידע על האורחים שלו, והוא האחראי עליו (בעל מאגר המידע). דנה מעבדת את המידע על האורחים רק בשם מקום האירוח ולפי ההנחיות שלו, כדי לספק את השירות.
• מידע על חשבונות ומידע מהאתר. על הפרטים של אנשי הצוות של הלקוחות שלנו, ועל הפרטים של מי שפונה אלינו דרך האתר, דנה היא האחראית.

אם אתם אורחים, פנו למקום האירוח שבו שהיתם או שהזמנתם בו כדי לממש את הזכויות שלכם. מקומות אירוח רבים מציעים לשם כך טופס בקשת פרטיות דרך דנה. אנחנו עוזרים למקומות האירוח לטפל בבקשות האלה.

המידע שאנחנו אוספים

אנחנו אוספים רק את מה שצריך כדי לספק את השירות. מהצד שלכם, אלה פרטי העסק, פרטי החשבון והמידע שהצוות שלכם מזין לדנה. מהצד של האורחים, זה המידע שהאורחים משתפים עם דנה בשיחות ובהזמנות.

• פרטי חשבון: שם, אימייל עבודה, מספר טלפון, חברה ותפקיד.
• מידע על הנכס: חדרים, מחירים, נהלים, שירותים ומאגר הידע שאתם בונים איתנו.
• שיחות עם אורחים: הודעות והקשר בכל הערוצים, בכל שפה שהאורח כותב בה.
• פרטי הזמנות ותשלומים: מספרי הזמנה, תאריכים וסכומים. מספרי כרטיס אשראי מלאים לא עוברים במערכות שלנו.
• נתוני שימוש: איך הצוות שלכם משתמש במוצר, לצורך תמיכה ושיפור.

האתר שלנו

כשאתם ממלאים טופס באתר (לקביעת דמו או ליצירת קשר), אנחנו אוספים את מה שהזנתם: שם, אימייל, טלפון, שם הנכס, ואם הטופס מבקש, גם סוג הנכס, מספר החדרים, המדינה, המערכות שאתם עובדים איתן וההודעה שלכם. אנחנו משתמשים בפרטים האלה כדי לחזור אליכם ולקבוע דמו. נשלח לכם עדכונים על דנה רק אם סימנתם את תיבת רשימת התפוצה, ותוכלו להסיר את עצמכם בכל עת.

לשם כך האתר משתמש בכמה שירותים חיצוניים:

• Roam, להצגת יומן הדמו. השם, האימייל והטלפון שלכם מועברים אליו כדי שלא תצטרכו להקליד אותם שוב.
• FormSubmit, גיבוי ששולח את הטופס במייל לצוות שלנו אם המערכת שלנו לא הצליחה לקבל אותו.
• Google Fonts ו-Unsplash, שמספקים את הגופנים של האתר וחלק מהתמונות שלו. כמו כל אתר שהדפדפן טוען ממנו קבצים, הם מקבלים את כתובת ה-IP שלכם.

איך אנחנו משתמשים במידע

אנחנו משתמשים במידע רק כדי להפעיל את השירות ששכרתם אותנו לתת. כלומר לענות לאורחים שלכם בשמכם, להסתנכרן עם מערכת ניהול המלון (PMS), ה-CRM ומערכות התשלום שלכם, לתת לצוות שלכם דשבורדים ותובנות, ולשמור על דנה מעודכנת לנכס שלכם.

אנחנו אף פעם לא מוכרים את המידע שלכם. אנחנו לא משתפים אותו עם צדדים שלישיים לצורכי שיווק. ואנחנו לא משתמשים במידע על האורחים שלכם כדי לאמן מודלי AI משותפים שמשרתים לקוחות אחרים.

שיתוף וספקי משנה

כדי לספק את השירות, אנחנו נעזרים במספר קטן של ספקי משנה אמינים. כל ספק משנה נבדק, מתועד ופועל לפי הסכם עיבוד נתונים שמעניק את אותן הגנות שאנחנו נותנים לכם. העיקריים שבהם:

• ספקי מודלי AI: OpenRouter, Anthropic, OpenAI ו-Google (Gemini). הם מעבדים את תוכן השיחות כדי לנסח את התשובות של דנה. הם מוגדרים כך שלא ישתמשו במידע שלכם כדי לאמן את המודלים שלהם.
• קול: ElevenLabs, לתשובות קוליות בשיחות טלפון.
• אחסון ושרתים בענן: בין היתר Amazon Web Services.
• שליחת מיילים: Postmark.
• נתוני שימוש במוצר: Mixpanel, כדי להבין איך משתמשים במוצר.
• ערוצי הודעות: כמו WhatsApp ושאר הערוצים שאתם מחברים, כדי לשלוח ולקבל הודעות מאורחים.
• תשלומים: Pelecard ושאר ספקי התשלום שאתם מחברים.
• שירותי Google: כשאתם מפעילים ייצוא ל-Google Sheets.

אנחנו גם משתפים מידע עם המערכות שאתם מחברים לדנה, כמו מערכת ניהול המלון וה-CRM, כחלק מהשירות. השירותים שבהם האתר משתמש מפורטים למעלה, בסעיף "האתר שלנו". רשימה עדכנית של ספקי המשנה זמינה לפי בקשה בכתובת privacy@itsdana.com.

אבטחה ושמירת מידע

המידע שלכם מוצפן בזמן ההעברה (TLS 1.3) ובזמן האחסון (AES-256). הגישה אליו מוגבלת לפי עיקרון ההרשאה המינימלית, מוגנת באימות דו-שלבי, ונרשמת לצורכי בקרה. אנחנו מבצעים גיבויים מוצפנים מדי יום ובודקים את תוכנית ההתאוששות מאסון פעם ברבעון.

אנחנו שומרים את המידע שלכם כל עוד החשבון שלכם פעיל, ולאחר מכן לתקופות שהחוק מחייב. בסיום ההתקשרות, אנחנו מייצאים או מוחקים את המידע לפי ההנחיות שלכם בכתב.

הזכויות שלכם

לכם ולאורחים שלכם יש זכויות לגבי המידע האישי שאנחנו מחזיקים:

• הזכות לעיין במידע האישי ולקבל עותק שלו.
• הזכות לתקן או לעדכן מידע שגוי.
• הזכות לבקש מחיקה (הזכות להישכח).
• הזכות להגביל עיבוד מסוים או להתנגד לו.
• הזכות לקבל את המידע בפורמט סטנדרטי (ניידות מידע).

כדי לממש את הזכויות האלה, פנו אלינו בכתובת privacy@itsdana.com. נשיב תוך 30 יום. אורחים צריכים לפנות קודם למקום האירוח, כמו שמוסבר בסעיף "מי אחראי על מה".

עוגיות ומעקב

אנחנו משתמשים במספר קטן של עוגיות (cookies) באתר ובמוצר. עוגיות הכרחיות שומרות אתכם מחוברים ומאפשרות לשירות לפעול. עוגיות סטטיסטיקה עוזרות לנו להבין, ברמה מצטברת, איך משתמשים במוצר כדי לשפר אותו. אנחנו לא מפעילים במוצר כלי מעקב של פרסום.

העברת מידע לחו"ל

השרתים שלנו נמצאים בארצות הברית, וחלק מספקי המשנה שלנו, כולל ספקי מודלי ה-AI, מעבדים מידע מחוץ לישראל. אנחנו מעבירים מידע לחו"ל בהתאם לתקנות הגנת הפרטיות (העברת מידע אל מאגרי מידע שמחוץ לגבולות המדינה), התשס"א-2001, לפי הסכמים שמחייבים את מקבל המידע להגן עליו. על מידע מהאיחוד האירופי, אנחנו נשענים על מנגנונים מוכרים, כולל הסעיפים החוזיים הסטנדרטיים של האיחוד האירופי (SCC).

מידע על קטינים

השירות שלנו לא מיועד לילדים, ואנחנו לא אוספים ביודעין מידע אישי ממי שמתחת לגיל 16. אם אתם חושבים שילד מסר לנו מידע, פנו אלינו ונמחק אותו מיד.

שינויים ויצירת קשר

ייתכן שנעדכן את המדיניות מדי פעם. כשנעשה שינוי מהותי, נודיע לכם במייל או בהודעה במערכת לפני שהוא ייכנס לתוקף. המשך השימוש אחרי המועד הזה מהווה הסכמה למדיניות המעודכנת.
